Programs, settings, and the new-year rollover
Each program carries a program year (like 2026-2027) and its own settings. When the new year comes, you don't rebuild anything — you roll over.
The August button
On a program, click Roll over to new year… It archives the old year (rosters stay readable forever), creates the new year with the same class structure — empty of people and staff — and lists the returning families so you can invite them back with one review-and-confirm batch. Children are never advanced automatically, and nothing is emailed without your confirm.
Module settings
Formation → Module settings… is where the parish shapes the module to itself:
- Per-program switches — online registration, attendance, prep tracks, roster import, portal visibility, Safe Environment staffing. Each shows its type default until you override it.
- Registration questions — what the online form asks (emergency contact, allergies, photo permission by default). Answers are staff-eyes-only: they never appear in the portal, in any export, or in anything AI touches.
- Checklist templates — what each sacrament-prep checklist starts with. First Reconciliation templates may hold logistics items only — the system refuses anything that looks like a per-child record.
- Safe Environment strictness — whether an uncleared volunteer is loudly flagged (warn) or refused outright (block). If the diocese requires block, the control shows that and cannot be loosened.
