Importing the school roster
The school keeps its own student system; Vianney keeps the parish side. Each term, export the roster as a CSV and import it into the School program.
Parse, review, apply
- 1. On the school program, open Roster import…, choose the CSV, and click Preview — nothing is written yet.
- 2. Every row shows its possible directory matches. You decide each one: link to an existing person, create a new person, or skip. Nothing links itself.
- 3. Pick a class for each row you're applying, then Apply…
Re-running the same file later is safe: no duplicates, and nobody is ever removed automatically. Students who disappear from the latest roster show up on a Possible departures list — a human reviews and withdraws them (or doesn't).
What the file has to be
It must be a real .csv, up to 8 MB, with at most 250,000 rows and 512 columns. Those are far past any school roster, so you are unlikely to meet them.
If the file is too big Vianney says so plainly — "that roster is larger than the 8 MB limit — please split it or export a smaller range" — and nothing is read. If the file is named .csv but is really a spreadsheet or a zipped export, you get "that file doesn't look like a .csv inside — please re-export it and try again". In your school system, choose Export as CSV rather than renaming a downloaded file, and it will go through.
The parishioner-status letter
Enrollment season brings the "are the Johnsons registered parishioners?" question. On the school program, Parishioner letters… prints one letter per registered household (a household that is not registered is listed on a cover sheet instead — the letter never asserts a falsehood). Print only; handing it over is the pastor's act.
