Inviting a parishioner to the portal
The parishioner portal lets members update their own details and take part in parish life online. Access is by invitation, with a one-time code, so only the right person gets in.
Invite someone
- 1. Go to Settings → Portal and search the roster for the parishioner.
- 2. Click Invite. Vianney shows a 6-digit one-time code — it appears exactly once and is stored only as a scrambled fingerprint, so pass it along right away by whatever means you normally use.
- 3. They open your parish's portal page, choose Claim your account, enter the email you have on file for them plus the code, and choose a password of at least 8 characters.
The person needs an email address on file before you can invite them — Vianney will say so if one is missing. The invite email is also the sign-in email from then on, and only the office can change it.
Choose what they may do
The same page carries one switch per kind of self-service under What parishioners may edit about themselves. All of them ship on:
- Contact info — their own email and mobile number.
- Preferred channel — email, text, both, or none for a group they belong to.
- Ministry preferences — the Mass they would rather serve and how often.
- Blackout dates — days they cannot serve.
- Sub requests — asking for a substitute on one of their assignments, and offering to cover for someone else.
- Sign up for open spots — volunteering for an open position on a published schedule. The office confirms every sign-up; nothing is ever assigned from the portal.
- Home address — their address, including a seasonal one.
Flip a switch and it takes effect on the parishioner's very next click — nobody has to sign out. Turn one off and the portal simply stops offering it; where it helps, the page asks them to call the parish office instead.
A few things are always available and have no switch, because they are only ever about the person's own published schedule: confirming an assignment, and creating a private calendar feed. See What parishioners can do.
Codes, resets, and turning access off
- A code lasts 72 hours. If one lapses before it is used, just issue another.
- Once an account is active, the Invite button will not issue another code for it. Use Reset code on the account row instead: that issues a fresh one-time code, cancels any unused older code, and lets the parishioner set a new password. Doing so signs them out of every session they had open.
- Disable stops a parishioner signing in immediately without deleting anything; Enable puts them back where they were.
Tips
- People added through Safe Environment as external-only — volunteers and others who are not full parish members — cannot be invited to the portal; the invite option will not appear for them.
- Codes never appear in the audit trail. The trail records that a code was issued, by whom, and when it expires — never the digits.
