Turning a Shepherd Note into a care case or sick-list entry
When a note in the Messages feed is about illness, hospital, hospice, or grief, Shepherd Notes offers to turn it into pastoral follow-up so it does not slip through the cracks.
Who the care tracks
If a note mentions someone other than who told you — "his wife is in hospital" — the care case and sick-list entry are for the subject (the wife), not the teller (the person who reported it). The subject appears on the card's About line. Click the pencil next to About to confirm or change the subject before creating the care record.
The action links
On a care-related card where a person is identified, you will see:
- + Care case — opens a care case pre-filled with the subject, the note, and its urgency.
- + Sick list — adds the subject to the parish sick list with the note attached.
How to use them
- 1. On the card, click + Care case or + Sick list.
- 2. Confirm the create. The entry is made immediately and the person is linked.
- 3. Work it from the Care tab afterward — see Working a care case and Keeping a sick list.
Prayer requests from outside the office
A prayer request submitted by a parishioner online always arrives unlinked to any person record — Vianney never guesses who it's for from a public submission. It waits on Care's Prayer requests tab, where each request is a plain row you can click open to read in full: mark it We're praying while the parish carries it, and Close it when the moment has passed. Until it is linked to a person it belongs to no one's record — and every link (and unlink) is written to the audit trail.
Tips
- You can still send a reply to the teller (the person who told you) from the same card — the two are independent.
- These links only appear when Vianney recognizes a care situation and has a person to attach it to, so they stay out of your way the rest of the time.
