Shepherd Notes (the front desk)
Who a Shepherd Notes reply goes to (and fixing it)
Each Shepherd Notes card in the Messages feed has a Reply goes to line showing exactly who will receive the reply. Because Vianney never guesses identity, you stay in control of this.
When the person is clear
The card shows their name, photo, and email. Nothing to do — move on to drafting and sending.
When it is unsure
- More than one match: a Which one? row of candidate chips appears. Click the right person to pin them.
- A name with no match: the card notes "mentioned … — no record match." Click the pencil to search the roster and pick the person.
Send to a typed address instead
- 1. Click the pencil on Reply goes to.
- 2. Search the roster, or type any email address at the bottom and click send here.
- 3. Or choose remove receiver to keep the note as a record only, with no reply going anywhere.
Teller and subject
When a note is about someone other than the person who told you — "his wife is in hospital" — the card shows two people:
- Reply goes to — the teller (the person who reported it; your reply goes here).
- About — the subject (who the note is actually about).
To confirm or change the subject, click the pencil next to About and search the roster. Care cases and sick-list entries created from this card are attached to the subject, not the teller.
Tips
- Pinning the right person also lets Vianney tidy the draft (for example, correcting a name's spelling).
- This identity-first care is deliberate — a sympathy note to the wrong family is worse than a slow one.
- If Shepherd Notes triage is off (Settings → AI add-on), Vianney does not suggest candidates for you — search the roster yourself on the Reply goes to and About lines.
