Insights: pastoral notes and who can see them
Insights let clergy and staff keep pastoral context on a person — a conversation, a concern, a follow-up. They used to be called "pastor's notes"; the name changed on 20 August 2026, and nothing anyone wrote was lost. Each insight carries a visibility tier, so sensitive ones stay with the right people.
Two tiers
- Private — you and the pastor. Nobody else, ever. The second half is deliberate: a parish's pastoral memory should not leave with the staff member who wrote it. "The pastor" means exactly that — a parochial vicar sees only his own private insights.
- Public — every staff member who can open People. Never the parishioner portal.
The old middle tier, *Clergy*, is gone: once the pastor could read private insights, no third audience was left for it to serve. Existing clergy-tier notes became private; existing staff-tier notes became public. Same words, same authors, same dates.
Add an insight
- 1. Open the person's profile panel and find Insights — or use + Quick Add → Add insight from anywhere in Vianney.
- 2. Type the body and choose Private or Public. A new insight starts private; you widen it deliberately, never by accident.
- 3. Save. The person's full record page has its own Insights tab with the same tools, so you can change a tier or fix a typo there too.
Who may write, edit, and remove
Any staff member who can open People may write an insight in either tier. Only the author may edit or remove one — the pastor can *read* a private insight but never rewrite someone else's. Removing is gentle: it disappears everywhere, and only the fact that it happened is kept in the audit trail.
Privacy guarantees
- The author always sees their own insights, whatever the tier.
- Insights are never shown in the parishioner portal.
- Private insights never reach the AI — not for the office, not for the pastor, not once.
- Public insights may inform exactly two things: the AI person profile on the Engagement tab, and the birthday-greeting drafter — and the drafter only when your parish has turned on pastoral data processing, with anything sensitive dropped before it is sent.
- Insight contents are kept out of the audit log — only the fact that an action happened, never the words.
- Insights appear in the person's Story feed as *"Insight added"*, under this same visibility, with no placeholder hinting that a hidden one exists. The body never enters the Story.
Tips
- Nothing confession-related should ever be entered here — it must not go into the system at all.
- Use Private for your own reminders and for what the pastor should know; Public when the office genuinely needs the context.
- Contact itself — who called whom, and when — belongs in Correspondence on the person's Engagement tab, not here. Insights hold pastoral judgement; correspondence holds facts.
